Position Location: Shreveport, LA
DURATION - Approximately 30 weeks.

Job Summary:

Administrative Assistant - is responsible to perform a variety of administrative and clerical tasks in assistance to the Project Construction group. Duties of the Administrative Assistant – include providing support to the Project Manager and the Construction Manager and other construction team members, as appropriate, assisting in daily office needs and related administrative activities

Duties entail typical duties identified by Client as normally associated with this position including, but not necessarily limited to:

  • Produce and deliver periodic project reporting for Client executive oversight
  • Assist Project Leader with establishing performance and behavioral standards
  • Assist with maintaining good relations with Client site leadership
  • Assist with promotion of Client as a responsible corporate citizen in the community
  • Ensure that Client policies and procedures are implemented and followed
  • Attend/Conduct routine staff meetings
  • Assist with production of periodic reporting to Client for status evaluation
  • Perform other duties that may arise from time to time.


  • Assist with generation a Weekly Project Status Report to include
  • Assist with generation of a Monthly Project Status report

Specific Responsibilities:

· Undertake administrative tasks, ensuring the rest of the department has adequate support to work efficiently.

· Provide scanning, copying, emailing, and filing services for project related information

· Assist in large and small event planning, arranging food, materials, booking facilities, and activities.

· Maintain confidential information related to the business.

· Adhere and comply with Global Records Management policies and procedures.

· Maintain files and departmental lists in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.

· Assist in receiving, stocking and distribution of office supplies as directed.


· 4+ years’ as an Administrative Assistant or equivalent experience.

· High school diploma or equivalent.

· Proficiency in MS Office.

· GSAP and MS SharePoint knowledge preferred.

· Self-motivated with the ability to work independently.

· Reliable with ability to work flexible hours as needed.

· Excellent time management skills and attention to detail in establishing priorities and meeting deadlines.

· Ability to communicate, both verbal and written.

· Capable of quickly refocusing after frequent interruptions.

  • Ability to work in a fast- paced environment with extreme multi-tasking.

· Very good organizational skills and multi-tasking abilities.

Physical Demands:

Occasionally may conduct or participate in a field trip to an operating unit or construction site. This requires normal hearing, the ability to stand, walk, reach, climb and balance, clear close and distance vision, depth perception and the ability to focus. Lifting up to 25 pounds may be required.

Work Environment:

Normal work environment will be in project trailers in an operating plant at the construction site with moderate noise. This may require exposure to outdoor weather conditions, loud noise, and work near moving mechanical parts, electrical energy, construction equipment, vibration, fumes, chemicals and airborne particles.

All candidates must pass background checks, drug screening, qualify for issuance of TWIC credentials, and pass client site specific safety training requirements.
